How to book trips, make changes, and cancellation terms.
Booking and Cancellation Policies
How to Book
Browse our packages online or contact a travel advisor by phone, email, or in-person at any Atlas Travel office. To confirm a booking, a deposit of 25% of the total trip cost is required. The remaining balance is due 60 days before departure. For bookings made within 60 days of departure, full payment is required at the time of booking.
Payment Methods
We accept Visa, Mastercard, American Express, bank transfers, and personal checks (must clear 14 days before departure). Payment plans are available for trips over $3,000: split your balance into three equal monthly installments with no interest or fees.
Changes to Your Booking
Date changes: Free if made more than 90 days before departure. A $150 change fee applies for changes made 60-90 days before departure. Changes within 60 days are subject to availability and may incur fare differences.
Destination changes: Treated as a cancellation and new booking. The cancellation policy below applies to the original booking.
Name changes: Free if made more than 30 days before departure. Within 30 days, airline name-change fees (typically $100-$300) will be passed through at cost.
Traveler substitutions: Another person may take your place at no charge if notification is received at least 14 days before departure, subject to visa and passport requirements.

Force Majeure
In the event of natural disasters, government travel advisories, pandemics, or other events beyond our control, we will offer a full credit toward a future trip valid for 24 months, or a refund minus any unrecoverable supplier costs (typically 10-20% of the trip cost).
Insurance options, visa requirements, and health documentation.
Travel Insurance
Why Purchase Travel Insurance
We strongly recommend travel insurance for all international trips. Atlas Travel offers comprehensive insurance through our partner, TravelGuard, starting at 5% of your total trip cost.
Standard Plan (5% of trip cost) covers: trip cancellation and interruption up to the full trip cost, medical emergencies up to $100,000, emergency medical evacuation up to $500,000, baggage loss or delay up to $2,500, and travel delay expenses up to $200 per day.
Premium Plan (8% of trip cost) adds: cancel for any reason (75% reimbursement), pre-existing medical condition coverage, adventure sports coverage (skiing, scuba diving, zip-lining), rental car damage coverage, and identity theft protection.
Insurance must be purchased within 14 days of your initial deposit to qualify for pre-existing condition coverage.
Filing a Claim
Contact TravelGuard directly at the number on your policy card. Claims must be filed within 90 days of the incident. Required documentation includes your policy number, receipts for expenses incurred, medical reports (for medical claims), police reports (for theft), and airline documentation (for delays or lost baggage).
Travel Document Requirements
Passport: Must be valid for at least six months beyond your return date. If your passport expires within eight months, we recommend renewing before your trip. Processing times: standard renewal takes 6-8 weeks, expedited takes 2-3 weeks.
Visas: Requirements vary by destination and nationality. Atlas Travel will advise you on visa requirements for your itinerary. Some destinations offer visa-on-arrival or electronic travel authorizations (eTA/ESTA). We recommend applying for visas at least 8 weeks before departure.
Common visa-free destinations for U.S. citizens (up to 90 days): Most of Europe (Schengen area), United Kingdom, Japan, South Korea, Australia (with eTA), Canada, Mexico, Costa Rica, and most Caribbean islands.
Destinations requiring advance visas for U.S. citizens: Brazil (eVisa), India (eVisa), China, Russia, Tanzania, Kenya (eVisa), and Vietnam (eVisa).
Health Requirements
Some destinations require proof of vaccination. Yellow fever vaccination is required for entry into several African and South American countries. COVID-19 requirements vary by destination and change frequently — check with your travel advisor for current requirements.
We recommend visiting a travel health clinic 4-6 weeks before departure for destination-specific vaccinations and medications (such as malaria prophylaxis for tropical destinations).
Travel health insurance provided through our plans covers treatment abroad, but we recommend carrying a copy of your prescription medications, a basic first-aid kit, and your insurance policy card at all times.
